What is a Proxy? A document representing you as attending the Annual Meeting if you cannot be physically present. Also provides the person it is granted to with voting rights on your behalf for the 2019 Annual Meeting ONLY. There are no voting matters planned for the 2019 meeting aside from the approval of the three candidates. The proxy is void upon conclusion of the Annual Meeting.
Why no ballot this year?
A ballot is used only if there are more candidates than open seats. For the 2019 election, there are three open seats on the Board, and only three people running for those seats. This means the election is uncontested, so there is no need for a vote. Therefore, there is no need for a ballot.
Why do I have to submit a proxy, then?
In order to elect the three candidates to the three open seats on the Board, the Association must hold the Annual Meeting. It is legally required by Wellington’s documents that 10 percent (140 owners!) of the membership must either attend the Annual Meeting, or submit a proxy to represent their attendance in order for the meeting to be held. This ensures the candidates can be elected by Acclamation at the meeting and each serve a three-year term. If we do not get enough proxies, the meeting cannot be held, and the Board will have to appoint the candidates at the January Board Meeting. Appointed candidates can only serve until the next annual meeting, meaning that at the 2020 Annual Meeting, there would be 5 open positions. The goal is to keep a healthy and democratic turnover of Board members, especially if interest in volunteering is low. Therefore, your proxy is VITAL. How do I submit my proxy?
Please fill out the PROXY FORM (p. 2 of the Annual Meeting Notice) OR obtain a copy by emailing tvasicek@wellingtonca.org. The top section should contain the address of your property in Wellington and the names of the owner(s) of the property. The fourth line can be left blank if you do not want to designate your proxy for the meeting to a specific neighbor. Then, the owner(s) sign, and the completed proxy is submitted to the office. To submit, you can:
- Mail it using the postage pre-paid and self-addressed envelope.
- Drop it off at the clubhouse office between 9am-5pm, M-F.
- Place it in the drop box outside the clubhouse office.
- Email it to tvasicek@wellingtonca.org.
- Give it to a neighbor who is attending the meeting.
